SoccerSmart (soccersmart.app) helps youth soccer players learn the game, and helps clubs and coaches run their teams. This page says what we collect, why, who sees it, and your choices. We wrote it in plain words.
What we collect
- Players: first name, last initial and jersey number (added by the club or coach), team and age group, and practice progress (quiz answers, drills, sessions, badges). If a parent sets one up: a player name and a scrambled PIN or password.
- Parents: a scrambled PIN or password, which children you are linked to, and when you agreed to our notice. An email address if you give one.
- Club registration (only if your club uses it): your child's first and last name, date of birth, gender, positions and notes you add; your email and a scrambled password; tryout scores and notes from the club; fees and payment status (not card numbers). When you finish registering: agreement to the code of conduct and medical release, photo consent, uniform size, and an emergency contact's name and phone number.
- Player cards (only if your club registers players with a governing body like US Club Soccer or a state association): your child's legal name, a parent or guardian's name and phone, your home address, IDs from those bodies, a head-and-shoulders photo, and a proof of birth, which is deleted as soon as the club checks it.
- Messages through a club website's contact form: your name, email and message, sent by email to the club.
- Gifts to a club fundraiser (only if you give): your name, email, amount and any message. Card details go to Stripe, not to us. Your name shows on the campaign page only if you choose.
- Financial aid (only if you ask your club for it): how many people live in your home, an income range, what you can pay, anything you choose to tell the club, and documents you upload.
- Player plans, game stats and reports (only if the team uses them): minutes, positions, goals, assists and saves from games; the coach's plan, focus areas and check-ins; the player's own reflections; saved reports. Coaches can also write private notes.
- Coaches and club staff: first name, last initial, role, a scrambled passcode, and an email address if you give one.
- Technical: a sign-in token in your browser, and the internet address of failed sign-in tries (to stop guessing). The site also keeps its own files (pages, quizzes, drills) on your device so it opens without a connection. If you stay signed in, a copy of your own account details is kept next to your sign-in so the app opens offline; signing out removes it.
What we don't collect
- No ads, no tracking across other websites, and no selling of information. We count page visits with Cloudflare Web Analytics, which uses no cookies and keeps nothing that says who you are: only which pages were opened, how fast they loaded, the website that linked here, the kind of browser and device, and the country.
- No card numbers. No photos, home addresses or phone numbers, except the emergency contact you give when registering and, if your club uses player cards, the details listed above.
- No location.
How we use it
- To run the site: sign-in, practice progress, team pages, lesson plans, registration, tryouts, teams and schedules.
- To send emails you need: sign-up confirmations, tryout times, offers, team placement, schedule changes and message alerts. Emails never include a child's last name or birth date. We keep an email's text only until it is sent; after that a short record (who it went to, the subject and when) for 90 days. If an email to you bounces or you mark it as spam, your address goes on a do-not-send list until it is fixed.
Who can see it
- Teammates and other families see only a player's first name and last initial.
- Coaches see their own team. For registered children, coaches see full details unless the parent chose Hide personal details (then name and birth year only).
- The club's registrar, treasurer and org admin see registration records, including the emergency contact. Every time someone opens a child's full record, it is written in an audit log.
- Financial aid requests: only the club's treasurer and org admins (and the site admin) see them. Coaches and registrars never do.
- Player cards: the club's registrar and org admins (and the site admin) see them, and the registrar sends them to the governing body the club registers with. Coaches never see the photo, address or proof of birth.
- Player plans and reports: the player, their parents, the team's coaches, the club's admins and the site admin. Players and parents see plans only after the coach shares them. Private coach notes are seen only by coaches on that team and the club's admins, never by players or parents.
- The site admin can see everything, to run and fix the site.
Companies that help us
Amazon Web Services stores the data (encrypted) and sends email. When you type an address in a form, what you type goes to Amazon’s map service to suggest matching US addresses; it isn’t kept there. Cloudflare delivers the website, and on a few public forms (registration, forgotten password, a club’s contact form, gifts) checks that a person, not a program, is sending it. Cloudflare also counts page visits with its Web Analytics, which uses no cookies and keeps no personal information. If your club takes payments online, Stripe handles the card: we never see or store card numbers, only whether a payment went through. They process data only for us. We share nothing with anyone else unless the law requires it.
Children under 13
A child's information comes from their club, coach or parent. Parent accounts and club registration need a parent or guardian to agree first, and we record when. If the club turns on parent OK for under-13s, a player under 13's practice progress stays on their device until a parent says yes, in their parent account or by an email we send at the child's request; we email the parent a confirmation with a link to take it back, which deletes what we saved. We keep that parent's email only to ask, and delete it after 14 days if nobody answers. A parent can ask to see, change or delete their child's information, and can say no to any more being collected, at any time: use Privacy & my data in the site, or email us.
How long we keep it
- Player accounts: while the player is on a team, and for 18 months after their last team ends, so progress carries over to next season. Then they are deleted, with their game stats, plans, notes and reports. Parent accounts: until deleted.
- Season reports: when a team's season ends, each player gets a saved season report, and parents get a short email saying it is ready (no stats or child details in the email).
- Registration records: until you delete them, or 18 months with no activity. Financial aid documents are deleted 60 days after the club decides. Player card photos are kept about a year. A club document that is replaced or deleted can be brought back for 30 days; a family's own files (aid documents, player cards) are gone a day after they are deleted.
- Messages: 1 year. Invite history: 18 months. Audit log: 2 years. Failed sign-in tries: 15 minutes.
- A club season that ended more than 6 months ago, and a team archived more than a year ago, move to private storage and are deleted 7 years later. A copy of everything is made once a month and kept 90 days, so we can recover from mistakes.
- If a club closes or stops using SoccerSmart for a year: it can still be viewed for 60 days, and its admins can download a copy. Then everything it stored is deleted: teams, players, families, registrations, messages and documents.
Security
PINs, passcodes and passwords are stored scrambled, so nobody can read them. Data is encrypted where it is stored and on its way to you. The admin account needs an authenticator app, and so do club org admins, registrars and treasurers.

If we change this page, we will update the date at the top and ask parents to agree again when the change matters.
